Job Summary

Under immediate supervision, is responsible for the general administration of the department. Provides claims support for the Claims Section in the Office of Risk Management. Assists with processing and administering claims information, including creating physical and electronic files and entering claims data. Manages claim section document retention, including claims files, coverage options, and insurance department complaints. Working conditions are primarily inside an office environment. Exercises no supervision.

Essential Job Functions

  • Assists with general administration of the department; answers phone calls, distributes mail, orders supplies, books conference rooms, maintains and organizes claims filing system, and updates information in various procedures manuals.
  • Assists in processing and administering claims information, including creating physical and electronic files and entering claims data.
  • Enters data in compliance with established procedures to achieve claimant and vendor payments.
  • Assists the Claims Manager with the preparation of periodic claim file audits of the Claims Adjusters including file selection and compilation of results of the audit.
  • Manages claim section document retention including claims files, coverage options, and insurance department complaints.
  • Provides answers to routine calls or questions in regards to filing a claim or the status of a claim.
  • Orders, receives, and distributes police and incident reports to claims staff as needed for their investigative purposes.
  • Coordinates scheduling, advertising, and documenting Claims Board Meetings in accordance with the Texas Open Meeting Act.
  • Performs related duties and fulfills responsibilities as required.

Job Requirements

  • High school diploma or GED equivalent (recognized by the Texas Education Agency or a regional accrediting agency).
  • One (1) year of general office or administrative experience.
  • Any applicant selected for this position must have a background check completed with results satisfactory to the City of San Antonio and successfully complete the City of San Antonio’s Cash-Handling Certification Training.
Preferred Qualifications
  • Texas Property and Casualty Adjuster license or All Line or Multi Lines license.

  • Unless otherwise stated, applicants are permitted to substitute two years of related full-time experience for one year of higher education or one year of related higher education for two years of experience in order to meet the minimum requirements of the job. One year of full-time experience is defined as 30 or more hours worked per week for 12 months. One year of higher education is defined as 30 credit hours completed at an accredited college or university.

If required for the position, a physical, motor vehicle record evaluation, and additional background checks may be conducted.

  • Knowledge of insurance terminology, insurance concepts, and various lines of business.
  • Knowledge of claims processing and procedures.
  • Knowledge of basic accounting principles and practices.
  • Knowledge of principles and practices of organization and management.
  • Ability to operate a computer keyboard and other basic office equipment.
  • Ability to learn principles and procedures for claims handling.
  • Ability to learn proper procedures for data entry into City's SAP Financial and Accounting system to achieve claimant and vendor payment.
  • Ability to read and comprehend instructions, correspondence, and memos.
  • Ability to work and learn in a fast-paced environment with minimal assistance.
  • Ability to learn purchasing procedures and policies.
  • Ability to maintain confidential information and work independently and as a team.
  • Ability to multi-task while still meeting expected time lines.
  • Ability to maintain and submit accurate records within the required time periods.
  • Ability to communicate clearly and effectively.
  • Ability to perform all the physical requirements of the position.
