Job Summary

GK is currently seeking an Executive Assistant to the Managing Director, Operations. This position is based at the company’s corporate office in Culver City. This position will have high visibility throughout the organization collaborating frequently with various departments, employee staff, executive leadership, and ownership of GK. This position will have high exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion, and judgement. The incumbent will be responsible for assisting the Managing Director with day-to-day activities.

  • Coordinates resources and schedules for the Managing Director of Operations.
  • Establishes daily priorities based on up-to-the-minute needs.
  • Reviews, distributes, and follows up on all correspondence for the Managing Director, downstream Executives, and department level, as needed.
  • Demonstrates a high level of initiative and ensures that all projects are completed within the required timeline.
  • Responsible for high priority initiatives, compiles, and reports information to and from key departments.
  • Responds to regularly occurring requests for information, taking messages, and scheduling appointments.
  • Coordinates meeting requests with Ownership for Human Resources, Property Management, Facilities, Marketing, Information Technology, Procurement, Learning and Development, Data Management and other key functions.
  • Compiles and reports information to/from various departments and Systems.
  • Prepares Monthly Operational Reports.
  • Analyzes challenges and utilizes resources to solve problems.
  • Create, compose and edit accurate written materials and reports utilizing Word and Excel.
  • Responsible for compiling accurate data and presenting to Senior-level management.
  • Uses tact, professionalism and diplomacy at all times when interacting with others.
  • Understands and demonstrates support of the confidential natures of the position.
  • Coordinates meeting set-ups (breakfast/lunch/dinner) as needed.

Minimum Qualifications Required

  • 3+ years of relevant experience providing executive support in a fast-paced, corporate environment.
  • Previous experience in property management preferred.
  • Experience in the real estate industry is highly desirable.
  • A Business or English degree is preferred.
  • Advanced level skills in Microsoft Office 2007, 2010 or 2013 programs including Word, Excel, PowerPoint and Outlook. Working understanding of Microsoft Visio helpful but not required.

  • Demonstrated ability to create and/or utilize tracking systems for reporting of various projects while meeting all deadlines.
  • Poised under pressure, able to manage multiple projects simultaneously, and eager to learn and grow in a fast-paced, high energy environment.
  • Exceptional communication skills including the ability to write, edit, and proofread with accuracy and attention to detail.
  • Able to manage a number of different and often conflicting objectives, projects, or activities at one time.
  • Can communicate effectively and professionally with executives and management to gather or convey information.
  • Good-humored and resourceful with a warm professional demeanor; able to build strong relationships with all levels of management.
  • Possesses outstanding problem-solving skills, a strong work ethic, and excellent judgment regarding confidential information.

Materials and Equipment

This role routinely uses standard office equipment such as laptop computers, smart phones, photocopiers, filing cabinets and other presentation materials.

Physical Requirements

Working Conditions

Work is usually performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like, but may be performed periodically in disaster services areas and camp settings.
