Position Summary

Our client is looking for someone with at least 4 yrs (preferably 7 yrs) of experience in an Executive Assistant role. This EA opportunity is a hybrid role based out of Hermosa Beach, CA, where you will play an integral role within a small team that is making an impact on a global scale. You can expect a range of tasks in this role, but the main emphasis will be to take control of the CEO's inbox and transform it from a to-do list into a task folder that has already been completed and filed. Your leader should begin each day with a sorted list of action items and a brief description of the day's schedule using flagging and folder management.

You'll be given daily priority updates and then be left to work independently or with a team of coworkers or clients to get things done. It will be your job to keep the CEO updated on progress and project statuses using ClickUp and regular contact. This position requires a hands-on approach; therefore, previous experience conducting research and writing extensive summaries will be quite helpful. The ideal candidate will have a track record of analyzing existing procedures, making recommendations for enhancements, designing new systems, and rolling out improvements. This EA is ready to take on any task, from streamlining the virtual workplace to revamping the real office.

This EA will be the primary support and keep the door open for new chances as they drive the CEO to local meetings, take notes, and assist with presentations. Ideally, this person will be a seasoned traveler who is up for any challenge. Candidates should either have a valid passport or be willing to apply for one in advance of any overseas travel that may be required.

The ability to anticipate problems, take measures to avoid them, and offer creative solutions to the CEO are all necessary for sustained growth. Your responsibilities will include acting on the CEO's behalf to ensure client satisfaction and coordinating his or her schedule, personal appointments, and travel plans. Researching automation, EMS, and other techniques to improve productivity will be part of your job description.

Essential Duties and Responsibilities

  • Email management- designate and implement a flagging system
  • Calendar management- incorporate task blocking, add in buffers, and ensure the leader’s time is used appropriately
  • Drive to and attend local meetings-assist with presentations, follow-up, note-taking, and preparation of meeting summaries
  • Presentation preparation-including research and design
  • Social media management – prepare and submit posts
  • Invoicing-ensure timely billing and payment
  • SOP documentation- assist with the creation and updates of existing SOPs
  • Organization- physical and digital filing, ongoing implementation of best practices
  • Document management-drafting, editing, and proofing a variety of documents, including contracts, proposals, reports, invoices, and correspondence
  • Personal assistance – assist with personal calendaring, errands, and planning
