Big Table is a fast-growing Christian non-profit that provides care for the largest industry in the nation - those working in the restaurant and hospitality industry. It is a vibrant industry full of gifted, creative, and generous people. It is also an incredibly tough industry that is the catch basin for the most marginalized in the country: at-risk teens, single parents, minorities, new immigrants, income-insecure seniors, and those formerly incarcerated working to build new lives. Many work inconsistent hours at multiple jobs, that push relationships past the breaking point. The stress levels are constantly high and most have no safety net, insurance, or benefits. It is the industry with the highest rates of drug and alcohol abuse in the country. Now with the COVID-19 crisis, the industry faces entirely new challenges as it seeks to rebuild.

What We Are Looking For:

Big Table seeks a highly-skilled and detailed-oriented full-time (32 hours) Office and Volunteer Coordinator for our Big Table location in Spokane. This individual will play a vital role in providing support to the Spokane team.

PRIMARY RESPONSIBILITIES

ADMINISTRATION | OFFICE

  • Provide clerical, project, and systems support to City Director, Care Director, Operations Administrator, and Care Coordinators.
  • Manage and audit the database of all donations and in-kind donations, updating accounts with information (address change, email change, journal entries, church affiliation).
  • Reconcile donations with donations report from Headquarters (monthly).
  • Report daily (cash and check) deposits to HQ.
  • Create and monitor required invoices and receipts.
  • Oversee and update administrative systems including failed transaction reports and resolution.
  • Maintain the Giving Partner Gratitude structure and giving partner lists, and send gift acknowledgment letters out quarterly and after each dinner.
  • Update Mailchimp with new email addresses received from events, donations, etc.
  • Track and maintain grant reporting deadlines.
  • Social Media communications plan and execution under HQ guidance.
  • Weekly review City Director's calendar to enter all development meetings and contacts into eTapestry/Charity Engine.
  • Prepare meeting folders as needed for development purposes.
  • Arrange travel schedules: plane tickets, room reservations, and car rentals.
  • Office Management: ordering and stocking supplies, watering plants, and managing office appearance. Alert hte building manager of any necessary office repairs or concerns. Other duties as assigned.

VOLUNTEER COORDINATION

  • Initiate outreach to find volunteers.
  • Screen volunteers (interviews, required background checks) and match volunteers to needs.
  • Train volunteers.
  • Schedule and supervise volunteers.
  • Coordinate Coaching volunteers to further Big Table’s mission in partnership with Care Director.
  • Celebrate volunteers.

EVENT SUPPORT

  • Assist Operations Administrator with event coordination as directed.
  • Assist Operations Administrator with the development and execution of all event communication.
  • Update and maintain guest lists and registrations.
  • Update tracking systems with attendees: eTapestry, Mailchimp, and Care Database.
  • Maintain inventory of all event supplies, decorations, and packing lists.
  • Upload photos to Flickr and create “Thank You” canvas pictures for all events.

TEAM ENGAGEMENT

  • Aid in welcoming new employees – supply keys, specific office supplies, and equipment. Coordinate training materials and track training schedules to ensure all training is executed.
  • Celebrate employees and build team unity by coordinating staff retreats, birthday lunches and special occasions.
  • Engage in special projects and other office duties as directed.

CHARACTER, SKILLS, AND EXPERIENCE OF AN IDEAL CANDIDATE

· College degree with applicable skills desirable.

· Restaurant and hospitality industry experience desirable.
