Title: Administrative Assistant – Statewide (Enrollment office)

Employee Group & Grade: Support/Non-Exempt

Reports To: Senior Enrollment Manager

Starting Salary Scale: $34,000-36,000

Calendar Year: 215 days

Purpose:

To provide administrative support to the enrollment operations of a statewide online program. The Enrollment AA collaborates with other GOAL staff, reports to GOAL’s Senior Enrollment Manager, and abides by and supports the vision, mission, values, policies, and procedures of GOAL as well as relevant state policies and regulations.

Enrollment Support

  • Supports the Senior Enrollment Manager with collaborative plans, coordination, and oversite of the GOAL student enrollment program and processes

  • Continually monitors, evaluates, and recommends adjustments to ensure enrollment accuracy and efficiency

  • Recommends changes in enrollment processes and policies when such changes serve the best interests of students and the organization

  • Provides support to the AA/Receptionist at the site level

  • Assists with GOAL’s wait list and mid-year enrollment processes

  • Assists with the student transfer process within the SIS

  • Works closely with the Senior Director of Accountability to ensure that all incoming students have complete paperwork for registration and are interviewed to ensure families and students have initial questions about the school answered

  • Assists with training multiple departments in enrollment platform and process

  • Conducts electronic paperwork and site location audits throughout the school year to ensure compliance

  • Assists with training Administrative Assistants and Receptionists on job functions during new hire training and throughout the year.

  • Assists with enrollment process at the site level when needed

  • Complies with confidentiality requirements and guidelines in the Family Educational Rights and Privacy Act (FERPA)

  • Assists in student recruiting and retention

  • Establishes and maintains collaborative working relationships with students, parents, and GOAL staff to enhance the instructional environment

  • Maintains a high level of communication (both orally and in writing) with other GOAL staff, students, and parents to deliver program information and address individual student needs

  • Models professional and ethical standards when dealing with students, parents, staff, and community

  • Meets professional obligations through efficient work habits, such as: meeting deadlines, honoring schedules, coordinating resources and meetings in an effective and timely manner, and demonstrating respect for others

  • Provides excellent customer service to support GOAL staff and student/family members

  • Provides backup phone support for GOAL’s main number

  • Performs other duties and responsibilities as assigned

Minimum Required Knowledge, Skills and Abilities:

Education:

  • AA degree preferred or a minimum of three years’ experience working in enrollment in a multi-district online school.

  • Trained in a variety of software programs (e.g., data bases, Microsoft Excel, Power Point, data mining software)

Experience:

  • A minimum of three years’ experience in student enrollment and recruitment preferred

  • Experience in educational settings preferred

  • Experience with multicultural and/or at-risk students, alternative programming, and online education preferred

Or other background demonstrating application of the following knowledge, skills, and abilities:

  • Solid background using oral and written communication skills for internal and external customers.

  • History in positions where a high degree of English language skills are necessary. Ability to communicate in bi-lingual situations a plus

  • Show experience in positions requiring interpersonal relations, diffusing/managing stressful situations, and exhibiting skills needed for conflict resolution.

  • Operate at a minimum on a proficient level regarding standard office equipment and office programs requiring frequent use of spreadsheets, word documents, Internet, and databases.

  • Can apply critical thinking and problem-solving skills with little or no supervision.

  • Demonstrated history of positions requiring a high degree of organizational skills, managing multiple priorities/tasks with frequent interruptions, and maintaining confidentiality.

  • Understands the benefits of continuous learning and takes personal responsibility for professional development.
