Main Function:
Human Resources Coordinator: Responsible for executing support activities related to all Human Resources services, systems and programs. Develops and maintains database and statistics for analysis and reporting. Provides overall operational and administrative support to the HR team, coordinates/leads special projects as assigned, as well as lead assigned employee events that are in line with the HR department objectives.
Employee Services: The role will be the main point of contact to handle daily employee queries in all aspects of HR core programs and processes.
Human Resources Assistant Support: The incumbent will also provide executive administrative and project management support to VP of Human Resources and Vice President of Advancement and Communication on an as needed basis.
Education and Experience:
- Bachelor’s degree or equivalent work experience, preferred but not required.
- At minimum 2-3 years of progressive work experience in HR field.
- Comprehensive knowledge of federal, state, and local laws and regulations that impact human resources and the employment relationship.
- Proven experience in HR employee services capacity.
- Excellent attention to detail, customer service and team collaboration skills.
- Proficient or advanced in MS Office: Word, Excel (Pivot V-Lookup preferred), PowerPoint, plus any related windows-based HR software. UKG experience is a plus but not required.
Essential Duties:
1. Leads the employee filing system/digitalization initiative and other HRIS Data management.
2. Serves as lead on ensuring compliance with all pre-hire paperwork
3. Serves as lead on completing the Quarterly webtax report
4. Serves as lead on coordinating monthly bus passes and posting anniversary and birthdays and new hires
5. Support Senior Human Resources Manager on monthly audits of licenses, certifications, and first aid certifications.
6. Serves as lead on coordinating quarterly sanction check reporting
7. Support Senior Human Resources Manager on coordinating OSHA 300A log
8. Serves as lead on monthly HR dashboard updates
9. Create, maintain and improve assigned reports and develop comprehensive analysis as directed including DI, demographics, human capital spending, budget, etc.
10. Assist in the update of the employee handbook, job descriptions and policies, procedures, etc.
11. Ensure final processes are completed accurately and timely on key HR tools including employee performance evaluation, employee status changes, new hire creation, etc.
12. Own, create and update relevant content on HR communication channels including Directors communication, bulletin boards, brochures, emails, etc. Maintain and manage the overall communication that goes on the employee bulletin boards including legislation requirements, organizational communication, staff notes, birthdays, anniversaries, etc.
13. Creates, manages and files all current and previous employee personnel files both on paper and digitally.
14. Maintains necessary and timely data maintenance and employee communication relative to employee status changes, leaves of absence, promotions, etc. for biweekly payroll.
15. Provide as needed administrative and project management support to the VP of HR including HR reports tracking, schedule management, event management, expense report and invoice management. .
16. Provide as needed administrative and project management support to the Senior HR Manager including recruiting coordination, project management, training/communication materials creation, etc.
17. Filter, redirect and prioritize communication throughout the HR team; sort mail, filter phone calls, redirect communication, etc.
18. Manage all HR continuous improvement projects including but not limited to: overall records keeping compliance, preparation for 24/7 readiness state for all auditors/surveyors requests/visits, any employee records that enables seamless employee services by other HR team members.
19. Lead the design and maintenance of key systems improvement such as performance management, Corrective action, HR drives data management, filing management, Analytics and reporting, etc.
20. Act as the HR team lead on overall HR compliance including but not limited to HRIS records keeping, 401K records, personnel folders, etc.
21. Stay proactive in identifying any HR/organizational compliance requirements and take initiative in developing appropriate preventive action plans.
22. Update the payroll module for any regulatory or tax rate changes.
23. Notify supervisor of any errors or issues with the payroll to ensure timely resolution.
24. Run and distribute labor reports as needed.
25. Reconcile reports quarterly and annually to ensure accuracy.
26. Produce and distribute employee W-2's at calendar year-end.
27. Work with the Residents Association in support of the Residents Gift program for staff.
28. Provide information for the Broadmead audit, 401(k) audit, and any regulatory review as requested.
29. Perform internal system audits periodically to ensure compliance.
30. Documents and updates payroll department processes and procedures.
31. Drafts changes to payroll policies as assigned.
32. Responsible for the coordination of efforts between payroll, Human Resources, and other department to ensure accuracy and proper flow of information regarding employee labor data.
33. Educate employees and management of installing and utilizing the UKG application.
34. Provide counsel and direction in execution of updated tax withholding forms to ensure timely adjustments to taxation for employees.
35. Accountable for promoting internal customer service.
