General Overview

The Paralegal provides legal and administrative support to attorneys, managers and other staff in the Office of the General Counsel. Has primary responsibility for certain project work arising out of the OGC.

Principal Duties and Responsibilities

  • Manages electronic calendars for five to six attorneys/managers.
  • Plans meetings as directed by attorneys and managers, using independent judgment in setting priorities, and handle all meeting logistics.
  • Types and makes edits to documents and presentation materials; performs “redlining” on documents as directed; proofreads documents.
  • Assists with obtaining information from business clients, as directed by attorneys or managers. May entail interviewing or meeting in-person with clients.
  • Answers the OGC’s main line and use independent judgment to direct callers to the correct attorney or OGC resource. Triages patient-care calls from clinicians seeking legal advice on urgent and non-urgent patient care matters.
  • Provides cross coverage to other OGC paralegals and administrative staff as needed.
  • Handles other duties and projects as assigned.
  • Handles one or more of the following areas of work, with minimal supervision:
  • Performs certain Corporate Secretary duties, such as attending regular board of trustee meetings and writing minutes; drafting votes for board meetings; maintaining corporate records (minutes, bylaws, articles of organization) according to established office procedures; and maintaining up-to-date and accurate lists of boards of trustees.
  • Conducts various document searches and factual research, collects and reviews documents, obtains documents from internal departments.
  • Reviews and redacts documents.
  • Prepares and files corporate documents, including non-profit corporation Annual Reports, with the Massachusetts Secretary of State’s office; assists with filings and registration of MGB entities in other states.
  • Prepares position statements.
  • Maintains, distributes and assists clients with the use of standard contract templates and template clauses. Serves as a point of in-take for clients for contract requests and questions and triage to the appropriate OGC attorney, OGC resource or MGB department. Monitors contracts mailbox.

Qualifications

  • Associate’s or Bachelor’s degree and at least five years of related work experience, preferably in a law firm or in-house legal department

Skills/Abilities/Competencies Required

  • Excellent written skills and the ability to correspond and communicate with others clearly and effectively in writing. May respond directly on behalf of attorney or manager without direction or instruction.
  • Excellent verbal and interpersonal skills and the ability to interpret information, answer complex questions and communicate in a professional, courteous, clear and concise manner
  • Intermediate to advanced proficiency with Microsoft Outlook, including Outlook’s calendaring functions, Word, Excel, and PowerPoint
  • Attention to detail and accuracy in work
  • Strong positive and customer service oriented approach
  • Excellent organizational skills
  • Demonstrated ability to juggle multiple tasks and competing priorities
  • Ability to handle a large volume of email in a fast-paced environment
  • Ability to make decisions, take initiative, and prioritize workload to meet conflicting deadlines
  • Ability to work with minimal supervision
  • Ability to maintain strict confidentiality
