Qualifications and Skills
- Experience as an office assistant or in a related field
- Strong interpersonal skills and ability to build rapport with patients, families, and healthcare providers
- Sensitivity to the needs of diverse populations
- Ability to work well, prioritize and multitask in a fast-paced environment with limited supervision
- Great attention to detail
- Excellent time management skills with a proven ability to meet deadlines
- Excellent written and verbal communication skills
- Ability to assess problems, provide solutions and use good judgment while articulating concepts and ideas in a clear, concise, and accurate manner
- Protect client's rights by maintaining confidentiality of personal information
- Knowledge of medical terminology and insurance procedures preferred
- Maintain operations by following policies and procedures
- Extensive Calendar management
- Proficient with Windows, Microsoft Office Suite, and Google Suite
- Extensive filing, data entry, and document scanning
- Basic HR knowledge
Duties/Responsibilities
- Answers phones, directs calls to appropriate individuals and prepares messages
- Serves as the point person for general inquiries about the company and services provided
- Assists prospective employees with the onboarding process, training modules, and systems setup and updates
- Obtains and verifies prospective clients' insurance information and ensure that all necessary documentation is complete
- Follows up with existing clients to ensure that their service plan is progressing smoothly
- Maintains accurate and up-to-date client and employee records
- Manages mail, FedEx, UPS, and courier requests
- Maintains office inventory and organization
- Completes external errands, walking and driving, including but not limited to picking up and dropping off documents
- Partners with HR to update and maintain office policies as necessary
- Provides administrative support to the Office Manager and the Administrator, as needed
Education and Experience:
- High school diploma or equivalent required; college degree in healthcare administration, business, or related field preferred
- Valid driver's license (Required)
- Administrative experience: 5 years (Required)
- Ability to type at least 60 words per minute (Required)
- Customer service: 3 years (Required)
- Healthcare Industry knowledge (Preferred)
- Bilingual in English and Spanish (Preferred)
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer
- Occasionally will need to reach with hands and arms, lift up to 25 pounds, climb/balance, stoop/kneel/crouch/crawl, and push/pull file cabinet drawers
- Position requires occasional (20%) travel within the local area, traveling to office and business locations to conduct business transactions
- Exposure to weather conditions, traveling distances to and from buildings, and operating a vehicle
